The following references belong to the developer and platform; they are not projects delivered by Cálamo.

The five references concern organizations in Malta. They illustrate the use of Scan2x and do not represent Cálamo markets, customers, or commercial presence outside Colombia.

Case published by Scan2x

Bank of Valletta

Public platform reference for document processing in banking.

Banking · Malta. Standardized, centrally managed capture across branches, with secure traceability.

Bank of Valletta process and outcomes

Problem and context. The bank needed secure, standardized document capture and customer onboarding across branches, with fewer human errors and better disaster recovery for collateral documents. These documents were kept on paper at a single location, were difficult to access, and onboarding practices varied between branches.

How Scan2x was used. Scanning profiles were created centrally and distributed remotely. Staff selected a profile and scanned; Scan2x handled automatic categorization, archiving, and workflow processing.

Process flow. Capture using the selected profile → automatic categorization → archiving → workflow routing, with capture audit logs.

Outcome. Capture was standardized and centrally managed, with secure traceability. Scan2x and Therefore were deployed across the bank’s branches and offices.

Platform reference

APS Bank

Organization shown by Scan2x among its financial-sector references.

Banking · Malta. Consistent digitization and immediate alerts for expired identity documents.

APS Bank process and outcomes

Problem and context. APS Bank needed to digitize checks, identity documents, and bank statements securely and consistently across several offices, replacing a previously fragmented capture process. Moving paper between offices involved time, costs, and risks of loss or tampering.

How Scan2x was used. Documents were captured from scanners, computers, and multifunction devices, with OCR and metadata extraction. Databases and web services were queried in real time during capture, and identity documents and passports were checked for validity, with expiry alerts.

Process flow. Capture at source from different devices → OCR extraction → real-time validation against business systems → expiry alerts where applicable → indexed archive.

Outcome. The bank achieved consistent scanning, indexing, and archiving, immediate compliance alerts for expired IDs, and fewer administrative support tasks.

MAPFRE MSV Life

Organization shown by Scan2x among its insurance-sector references.

Insurance · Malta. Two distinct cases are presented: claims digitization at MAPFRE Middlesea, and document digitization and extraction at MSV Life.

MAPFRE Middlesea and MSV Life processes and outcomes

Problem and context. Operations relied on paper, with retrieval difficulties, limited remote access, and substantial auditing effort. MAPFRE Middlesea handled physical claims files and paper correspondence; MSV Life needed a secure repository, digitization, and data extraction.

How Scan2x was used. At Middlesea, it was used to recognize and capture documents, digitize active and historical files, and index them in designated Therefore repositories. MSV Life used Scan2x for digitization and data extraction; its subsequent electronic signature workflow with Namirial is a separate component.

Process flow. Physical files → capture and recognition with Scan2x → indexing → designated Therefore repository.

Outcome. Middlesea achieved a fully digitized office, with remote access and greater visibility for auditing. MSV Life obtained a digitized document collection with extracted data.

MAPFRE Middlesea metrics. All open paper files were digitized in less than a year. During the transition, operational departments processed an average of 1,500 to 2,000 new documents per day. These figures relate to claims digitization at Middlesea, not MSV Life.

Identità

Public sector and notarial documents · Malta. A government agency transitioning to paperless processes, with shorter processing times and better document access.

Identità process and outcomes

Problem and context. The notarial document search process (Legal Searches) relied entirely on paper: printing, manual review and signing, and physical collection of the documents requested by notaries. This caused delays and a risk of errors.

Process scale before digitization. Before digitization, the workload involved 72 internal users, 1,093 registered notaries, about 18,700 Legal Searches per month, and around 133,700 documents printed and signed monthly. These figures describe the scale of the process; they do not measure a productivity improvement from Scan2x.

How Scan2x was used. Scan2x automated the scanning and digitization of notarial documents. Secure storage was provided in Therefore, with access for relevant staff. Digital signing was handled by a separate Namirial component, not Scan2x.

Process flow. Physical notarial documents → scanning and digitization with Scan2x → secure storage in Therefore → access for relevant staff.

Outcome. The case describes less time spent on manual scanning, shorter processing times, and improved accessibility. The transition to a paperless process was still underway when the study was published.

Burlo Fleri Soler

Legal and notarial services · Malta. From paper archives to immediate digital retrieval, freeing up rented storage space.

Burlo Fleri Soler process and outcomes

Problem and context. Paper archives occupied the premises and a rented garage. Staff spent considerable time searching for old files: locating a document could take between 2 and 3 working days.

How Scan2x was used. Documents were captured and scanned, then automatically archived in the corresponding Therefore category. Metadata, such as the customer number, was collected to make retrieval easier.

Process flow. Paper document → capture with Scan2x → automatic archiving with metadata → Therefore repository → virtually instant digital retrieval.

Outcome and metrics. The firm stopped renting the garage used for archives. More than 31,360 documents were digitized, and retrieval improved from 2–3 working days to virtually instant digital access. These are customer-reported outcomes published by Scan2x/Avantech, not independently audited measurements.
